Create Email Action Item

You Create Email Action Items from an Action Item Templates Window (see Create New Action Item).

After selecting "Email" from the Action Item Type drop down list, the setup window will appear.

Step 1: Enter the name of the new Action Item in the top left box.

 

Step 2: Select the Email Method you wish to use.

 

NOTE: If you haven't already, you need to setup your outgoing email account method.

 

 

 

Step 3: Select the Email Address Field(s) to be used by ContactTalk i.e. Email1, Email2, etc...  Click the Select Fields Button to select from a table.

 

 

Step 4: Enter the subject line of the Email.

NOTE: You can add Tags here as well to the message body,  i.e. make the subject line say "A message for DisplayName"

 

Step 5: Type your Email message.

 

 

Step 6 (Optional): Insert Tags to automatically address your recipients with their names or other personal information stored in the database.

Step 7 (Optional): Format your email's Font, alignment etc... using the available options.

 

 

Step 8 (Optional): Select an Image to embed into the Email by clicking on the Image button to the right of the formatting options.

The Image should appear in the body of the Email immediately.  The Image format options are JPG, BMP, and GIF.

 

 

Step 9 (Optional): Insert an attachment to your Email Action Item by clicking on the Attachments tab at the bottom and then right clicking in the body to select Add.

 

 

Step 10 (Optional but recommended): Test your Tags and email by returning to the Message tab and clicking on the Test button on the right above the message body.  Select a contact from the list and click OK.

 

Your tags will then be replaced with the name of the contact you chose so that you can see that you selected the Field you meant to.

A dialog box will pop up and ask if you want to send a test email and if you click OK, another dialog box will pop up asking you what email address to send the test to, and you can then type your own email address in.

 

NOTE: Sending a test email won't send to the contact you chose to test directly.  The contact you chose is simply a way to test your tags.

 

 

Step 11: Click OK when finished creating your Email Action Item.  Once created, you will need to Execute your Action Item.

 

NOTE: You can always edit your Action Item Templates later by returning to the Action Item Template window and right clicking on that Action Item and selecting Properties.
