This video shows you how to create and apply Voice action items to contacts. Covers the use of tags, the "my table" and Voice queue) 9:16

Campaigns (Campaigns manage what contacts will receive an Email or be called and when. They work using stages that are setup by day. For example stage 1 may occur when a contact enters the campaign, stage 2 may execute 3 day later etc. Each stage can send Email or call someone using action items.) 3:21

Applying Action Items to contacts directly and via Campaigns

Action items do nothing until they are applied to a contact or group of contacts. This video shows how to apply any action item to contacts either directly, through campaigns or the scheduler. When applied directly, action items simply enter a queue where they are executed. Campaigns apply action items to contacts on a date defined in the campaign stage. The scheduler applies action items to contacts based on a date, even reoccurring ones.

Mail Reader

If you use Outlook, Thunderbird or an online service like Yahoo or Gmail to handle your Email, the Mail reader is able to read your Email and store it separately. You can then view Email from a particular contact within ContactTalk. Create a group within ContactTalk and view all Email from all people within that group.

The Email reader is also able to extract information from Emails and create contact records from it i.e. When a lead provider sends you leads via Email, ContactTalk can extract the lead information, create a contact, ensure the names are properly capitalized, create a display name and optionally enter them into a campaign.

The video covers setting up the reader to get your Emails, and all functions of the mails reader with the exception of mail maps. They are covered in another video.

10:45

Mail Maps

The Mail Reader uses Mail Maps to extract information from Emails. You can design a mail map to read any type of Email regardless of it's format i.e. Text or HTML. When the subject line of an Email matches that of a Mail Map, it's parsed and the information (first & last name, city, phone etc. can be anything) is sent to ContactTalk. You can instruct the Mail Map to set any field within the Contact to be anything. For example set a field named LeadProvider to be the name of the lead provider that sent the Email, or set another field to be the imported date and time.

The video covers creating Mail Maps and all options associated with them. Mail Maps are processed when new mail is received, however the video also covers manually applying Mail Maps to mail already received.

Support FAQ General & Error Messages

General:

I plan to purchase a new computer and want to get the most out of ContactTalk. What do you recommend?

Any new PC running Windows should be fine and possess the appropriate requirements to run ContactTalk. We recommend using Windows XP as opposed to Vista because Vista is very different from the old Windows. ContactTalk, like most other software on the market today, has some minor compatibility issues with Vista.

I imported my contacts into ContactTalk and it says it entered them into the campaign, but nothing is happening – they are just sitting in the Queue.

There is a global Pause button located in the lower left hand corner of ContactTalk. Action Items won’t automatically execute until the box labeled “Pause All” is unchecked.

Every time I do an update on ContactTalk, it tells me I have to reboot my computer.

Make sure that you close ContactTalk prior to clicking Next on the Auto Update Window. Once the update is complete, ContactTalk will automatically restart on its own.

Once I purchase a professional voice from your Web site, how do I get it into ContactTalk?

Simply download then install it, and it will automatically appear as an available voice when you go to create a Voice Action Item.

Will ContactTalk replace my current email browser such as Outlook, Outlook Express, Thunderbird, etc…?

No, currently there is no way to reply to or forward a received email, therefore you will probably want to keep using your existing email browser.

Do I need to purchase any additional hardware such as a soft phone or router to use SIP for my ContactTalk action items?

No additional hardware is required.

Error Messages:

I have ContactTalk installed on a Windows Vista PC and have an audio error.

This is a problem we will have to fix manually. Please Email us and we will get you up and calling very quickly. This problem is rooted in Vista's infancy and we hope the issue will be resolved by Microsoft soon.

I am receiving Error Message 50 – Can not connect to device.

1. Select Options->Settings from ContactTalk's main menu.
2. Go to the Audio tab.
3. Click the Advanced button.

4. If any of the the audio device names contain "Call Soft" then check the option
"Add "(emulated)" to Skype device names".

If the problem continues do this:

Select Options->Settings from ContactTalk's main menu.
Go to the Audio tab. In the "Skype's default audio devices" box set the "Audio In" AND "Audio Out" to be your sound card.
It's probably set to "Windows default device" which would be causing the problem.

ContactTalk is not letting me connect to Skype.

From within Skype, go to Tools->Options then click the Advanced Tab, and at the bottom of the window you will see “Manage other program’s access to Skype – click here. Make sure ContactTalk is set to “always allow”.

I am receiving an error message stating my audio drivers are already installed, yet I can’t connect to Skype or SIP.
